What the Hub collects, who it goes to, how long it is kept, and what you can do about it.
Last updated 2026-10-26. Applies to hub.warprecruit.com, where every agency
runs the same app on the same database. On 2026-10-26 we changed section 6a: if you own a hub, the owners of the hubs directly above, below and beside it can see your name, photo and hub name and can write to you. The Hub moved to this address from hub.woodagencylife.com on 2026-10-14. The same day we added Grow, a private journal and reading list (section 6b), and Follow-ups, private reminders to call someone back (section 6c). A first name is allowed in Follow-ups and nowhere else.
The short version. The Hub keeps what you type into it, plus a few
technical details it needs to work. We do not sell your information, do not use it for advertising, and
the Hub has no analytics or tracking cookies. A small number of service providers handle data so the Hub
can run; they are named below. You can see, correct, export or delete your information. Messages you send
in the Hub are stored too and are not end-to-end encrypted (section 6a). What you write in Grow, your journal and reading list, is readable by nobody but you, and is not end-to-end encrypted either (section 6b). Do not put your
clients' personal information into the Hub, in a message or anywhere else. The one exception is a first name in Follow-ups, which only you can see (section 6c).
1. Who we are
The Hub is provided by The Wood Agency (Ben and Andrea Wood, Prescott Valley, Arizona). It serves the agency's
own agents and the team hubs the agency sets up for leaders outside it. Questions and requests:
ben@woodagencylife.com or (928) 889-6338.
2. What we collect
What you give us
Account: your email address, your password (stored only as a hash by our sign-in provider; nobody can read it), and your name.
Profile, if you fill it in: phone, address, city, state, ZIP, birthday, NPN, license number, agency start date, goals.
Your activity: dials, contacts, appointments, applications, premium, lead spend and notes for each day, and recruiting counts if you log them.
Policy records: date, carrier, annualized premium, policy number and status. Not client names. See section 3 of the Terms.
A photo, if you add one, and the activation steps you have finished.
Messages: what you write in your team chat, in 1:1 messages and (if you are an owner) in announcements, who it was to, and when. If you choose to acknowledge an announcement, we also store which announcement you acknowledged and when. Agency owners can see acknowledgment counts; this is separate from opening or reading a conversation.
Grow: the journal entries you write (your wins, and concerns or losses, by day), the books you mark as want to read, reading, read, want to own or own, with the day you finished and an optional one-line note about each, and the reading and journaling badges you earn.
Follow-ups: the reminders you set to call someone back: a first name, a few words about what for, a time, and whether you marked it done.
Terms you accepted: which version, and when.
What the Hub works out or records as you use it
Streaks, badges and your standing on the boards.
The time zone your device reports, so an evening reminder arrives at the right hour and message alerts stay quiet overnight. We do not collect your location, only the time zone.
If you start a Dial Session: that one is running and when it started, until it ends.
If you turn on notifications: the address your browser or phone gives us to send them to, a record of which reminder we sent and when (at most one a day), and, for messages, when a conversation last sent you an alert (so it sends no more than one every five minutes), and, for follow-ups, that a reminder alert was sent so each goes out once.
Which conversations you have read and which you muted, so the unread count is right.
If you use the AI headshot button: a record that you used it and when, which enforces a monthly limit.
What is kept on your own device
The Hub does not set cookies. It does keep things in your browser's own storage: your sign-in, numbers you tapped or
typed and have not saved yet, journal words you have not saved yet, messages you wrote that have not reached us yet and drafts you have not sent, a team link you were sent (for up to 14 days), your display choices, and saved copies of
the Hub's pages so it opens quickly and works with a weak signal. Clearing the site's data in your browser removes all of it.
3. What we do not collect
No analytics, advertising or tracking tools, and nothing that follows you around other sites.
No location, contacts, microphone or camera. The Hub never asks your device for those permissions, and a photo is only a file you choose to upload.
No client information, on purpose, apart from a first name in Follow-ups (section 6c). If you enter more anyway, tell us and we will delete it.
4. How we use it
Only to run the Hub: sign you in, show you your numbers, streaks and boards, let your team see what the
Terms say they can see, send the sign-in emails, reminders and message alerts you ask for, keep the Hub secure,
and help you when something goes wrong. We do not sell your information and do not share it for marketing.
5. Who else handles it
These providers process information only so the Hub can work. We do not allow them to use it for their own marketing.

Links in the Hub to other sites (Zoom, WhatsApp, GroupMe, carrier and licensing portals) leave the Hub. Their own privacy
policies apply there. The “Find on Amazon” links in Grow go to Amazon and are affiliate links: if you buy through one, the Hub's operator may earn a small commission, at no extra cost to you, and Amazon may set its own cookies to record that. The link carries only the book's title and author. We do not tell Amazon who you are or anything about your journal or your reading list. We may also disclose information if the law requires it.
6. Who can see your information inside the Hub
That depends on your hub, and the Terms of Use (sections 2, 4, 4a and 4b) are the full list. In short:
You see everything of yours.
Your hub's owners see what the agents in their hub log. On The Wood Agency's hub that is Ben and Andrea. On a team hub
(such as one run by a team leader) it is that hub's owners, not Ben and Andrea, who see their agents' activity. The
Wood Agency's owners see a team hub's totals only: how many agents, their dials for the week, and whether the team has joined the network board.
Your teammates see your name, weekly totals and the other things the Terms list. Never your daily rows, notes, lead spend, goals, individual policies or profile.
Your Grow journal, reading list and Grow badges are seen by nobody but you: not your hub's owners, not your upline, not your teammates (section 6b).
Your follow-ups are seen by nobody but you: not your hub's owners, not your upline, not your teammates (section 6c). Your Business notes on the Activity screen are different: they are part of your daily activity, which your leaders can read (see above).
Other teams see your name, photo, team and activity score only if your team's leader has joined a network with them. Never APV.
The person who operates the Hub. Ben Wood runs the underlying database, so he can technically reach all of it. He uses that only to run, secure and support the Hub, or when you ask.
6a. Messages
The Terms (section 4b) are the full list. In short:
Team chat is read by everyone on that team. Announcements are read by everyone in the owner's hub, including people who have signed up but not yet joined a team. An owner can aim one only at those people and add a button that opens the screen for joining a team (you still confirm). Only they, and the hub's owners, see an announcement aimed that way. 1:1 messages are read only by the two people in them: your team's owners, and Ben and Andrea, cannot open a 1:1 between other people.
If you own a hub, the owners of the hubs directly above, below and beside yours can see your name, photo and your hub's name, and can start a 1:1 with you. They do not see your hub's numbers or anything else about it, and nobody else in their hub gets a line to you. Owners of a hub that sits beside yours are included only when both hubs have chosen to be found by name.
Messages are not end-to-end encrypted. They are protected in transit and stored with the rest of your information at our database provider (section 5). The person who operates the database, Ben Wood, can technically read stored messages, as section 6 says of everything else, and uses that only to run, secure and support the Hub or when you ask. We do not scan messages.
A message can show on your lock screen as an alert if you turned notifications on. You can mute any conversation or leave notifications off.
6b. Grow: your journal and reading list
Grow is a place to write down your wins and what is weighing on you, and to keep a list of the books you want to read, are reading, have read, or want to own. The Terms (section 4c) have the short rules. In short:
Only you can read your journal, your reading list and your Grow badges. Not your hub's owners, not your upline, not your teammates, not any other team, not Ben and Andrea as owners of the main hub. Our database enforces this: nobody else's account can ask for your rows, and the tables have no access for signed-in users except through functions that answer only for the person asking. Your Grow badges are kept in the same private place, not with your other badges, which your hub's owners can read.
They are not end-to-end encrypted. They travel over an encrypted connection and are stored at our database provider (section 5) like the rest of your information. The person who operates the database, Ben Wood, can technically read them, as section 6 says of everything else, and uses that only to run, secure and support the Hub, or when you ask.
Please keep your clients' names and personal details out of your journal and notes, as the Terms ask everywhere in the Hub.
You can delete any journal entry, or take any book off your list, at any time. It is removed rather than hidden. Deleting your account deletes all of it. Words you have typed but not saved are kept in your browser until you save them or clear the site's data.
6c. Follow-ups
Follow-ups are private reminders to call someone back. The Terms (section 4d) have the short rules. In short:
Only you can read your follow-ups. Not your hub's owners, not your upline, not your teammates, not any other team, not Ben and Andrea as owners of the main hub. Our database enforces this the same way it does for Grow: nobody else's account can ask for your rows, and the table has no access for signed-in users except through functions that answer only for the person asking.
What goes in. A first name, an optional few words about what it is for, and a time. A first name is the only client detail allowed anywhere in the Hub. The database refuses digits and @ in the name, and anything that looks like a phone number or an email in your words. Please keep last names, addresses, and policy, health or financial details out.
An alert can show on your lock screen. If you turned notifications on, a reminder alert shows the first name and your words when it comes due, so anyone looking at your lock screen can read them. Turn notifications off, in your phone or in the Hub, to stop them. A scheduled job in our database provider's functions sends them, once for each follow-up.
You can delete any follow-up at any time, and it is removed rather than hidden. Ones you marked done are removed automatically after 30 days. Deleting your account deletes all of it.
7. How long we keep it, and deleting it
We keep your information while your account is active. You can delete your account yourself in the app: Profile,
at the bottom, “Delete my account”. It removes your login, profile, every day of activity, policy records, streaks and
badges, your Grow journal, reading list and Grow badges, your follow-ups, notification settings, the messages you sent and the 1:1 messages sent to you, and the photo files you uploaded. It is immediate and permanent. If a photo cannot be removed, the
deletion stops and tells you, so nothing is half-done. If our database provider keeps system backups, they expire on its own
schedule, and we cannot read or restore a deleted account from them. Web-server records at our host are kept under its own policy.
Messages are kept until they are deleted. You can delete any message you sent, at any time, and it is removed rather than hidden. A team's owner can remove posts from that team's chat and announcements. Deleting an account deletes its messages as described above, so the other person in a 1:1 loses their copy of what you sent and received.
Your photo is stored so that anyone who has its exact web address can open it. The address is not listed anywhere in the Hub
beyond the places your name already appears, and it stops working when you remove the photo or delete your account.
8. Your choices
See and correct your information in the app. Anything you cannot reach, ask us.
Get a copy of what we hold about you: email us and we will send it.
Delete it as described above, or email us.
Mute a conversation from inside it. Turn off notifications in Profile or in your device settings. Remove your photo any time.
Leave a team by asking your hub's owner, or switch teams by using a team's link, which always asks you first.
Some states give residents rights over their personal information. We do not sell it and do not share it for advertising, and we will
act on any request to see, correct or delete it. Email us from the address on your account so we can confirm it is you.
9. Security
Traffic is encrypted in transit, the database enforces who can read what, and passwords are stored only as hashes. Section 5 of the
Terms has the detail. No system is perfectly secure. If you think your account has been accessed by someone else, or you find a
security problem, email Ben straight away.
10. Children
The Hub is for licensed or licensing insurance agents and is not meant for anyone under 18.
11. Changes
If we change this policy in a way that affects how your information is used, we will ask you to accept the new version of the Terms when you next
sign in. Smaller edits change the date at the top.
